Reservation Guidelines

Cape Town is South Africa’s most popular destination.  Reservations are on a “first-come, first-served” basis.  We recommend booking early to ensure availability.

All rates are in South African Rand (ZAR), per room, per night, and include VAT. Book your room directly here.

Hotel Payments

  • Full payment of all accommodation bookings is required at the time of booking, by credit card or by bank transfer. No confirmation or invitation letter will be sent until Grosvenor Tours has received the payment.
  • All extra costs incurred (room service, telephone call etc.) must be settled in South African Rand (ZAR) directly at the hotel upon check-out.
  • Rates quoted are per room, per night and include breakfast, 15% VAT (Value added tax) and a compulsory 1% Government Tourism Levy.
  • Accommodation Rates are subject to 15% South African Value Added Tax (VAT) and payable by local and international delegates.  All Non-South African participants may apply for a VAT refund to the South African Revenue Services (SARS). Click here for more information about VAT refunds.  

Hotel Cancellations Policy – Individual Bookings

All cancellations are to be sent to Grosvenor Tours in writing to WOC2020housing@grosvenortours.com.  Please note the following cancellation terms:

  • For cancellations within 90-35 days from arrival date: A 50% penalty will be charged.

Grosvenor Tours is the ONLY official mandated housing bureau for this Congress. ICO cannot validate hotel reservations via sources other than those presented by Grosvenor Tours.

Beware of unauthorized hotel Solicitations! Use Grosvenor Tours to avoid fraud!

While other hotel resellers and travel agencies may contact you offering housing for your trip, they are not endorsed by or affiliated with ICO. These agencies may also misrepresent themselves as the official housing and registration bureau and may illegally use the congress name or logo. Beware that entering into financial agreements with non-endorsed companies can have costly consequences.

Tours and Airport Transfers

All rates are in South African Rand (ZAR) and include VAT. Book your tours and transfers directly here.

A wide range of tours is available for both WOC2020 delegates and accompanying persons. Please note that tour dates are available on the “Accommodation, Tours and Transfers” booking platform.

  • The deadline for bookings for day tours is 8 June 2020. Any bookings received after this date will be subject to availability.
  • Pre and post tour packages are available on request. Please email WOC2020tours@grosvenortours.com.

Airport Transfers

  • The deadline for bookings for arrival airport transfers is 8 June 2020. Any airport transfer reservation received after this date will be subject to availability.
  • Departure airport transfers can be booked at the Transport & Tours Information Desk on-site during the congress.
  • All airport transfers need to be pre-paid to prior to pick-up date.

Tours and Airport Transfers Cancellation Policy

Grosvenor Tours must be notified in writing via email at WOC2020tours@grosvenortours.com, if there is any airport transfer or tour cancellation. The appropriate refunds will be made after the congress. The date of cancellation of the airport transfer shall be deemed to be the date on which the written notification is received.

The following cancellation charges apply:

  • 0 – 15 days prior to commencement:  25% of the total cost
  • 14 – 6 days prior to commencement:  50% of the total cost
  • 5 days or less prior to commencement and no-shows: 100% of the total cost

Cape Town City Centre Walking Experience

Half Day Tour (08.00 – 15.00) 

Beautiful scenery combined with historical sites such as the Castle of Good Hope built by the Dutch, Cape Town City Hall, the Grand Parade, where Nelson Mandela first addressed the nation as a free man after 27 years in jail, Church Square, where slaves would wait for their owners under the slave tree, Slave Lodge, devoted to the history and experience of slaves and their descendants in the Cape, Greenmarket Square, with a daily crafts and souvenir market, surrounded by the Old Town House and art-deco architecture, St George’s Cathedral, known as the people’s cathedral for its role against Apartheid, the Bo-Kaap with its colourful houses and narrow cobbled streets, the Western Cape High Court, Company’s Gardens, South African Museum, South African National Gallery, Old Synagogue, Houses of Parliament, St Mary’s Cathedral and the District Six Museum where the walk ends.

Aquila Wildlife Safari Tour

Full Day Tour (09.00 – 19.30)

After a mid-morning departure we head up the N1 Highway, through the spectacular Hex River Valley and arrive at the Aquila Private Game Reserve. The biodiverse habitat of the reserve ensures plenty of interest for the avid game viewer and birder. Giraffe, Blesbok, Black and Blue Wildebeest, Zebra, Springbok, Gemsbok Klipspringers, Duiker, Greybuck, Steenbok, Ostriches, Baboons Caracal, Foxes, Jackal, Leopard and 172 species of birds, including the Black Eagle are found on the reserve. An experienced Game Ranger will take you on a Game Drive. Lunch is enjoyed at the Lodge.

Cape Winelands Tour

Half Day Tour (14.00 – 17.00)

This enchanting excursion begins with a tour through historic Stellenbosch, an architectural jewel that serves as the historic heart of the country’s wine region. A gracious blend of 18-century Cape Dutch, Georgian and Victorian buildings is evident as we drive down Dorp Street, where massive Oaks still shade original water furrows, then enjoy a wine tasting in the Stellenbosch area. A second wine tasting will be included (time permitting), before returning to Cape Town.

Great White Shark Cage Diving Experience

Full Day Tour (06.00 – 17.00)

Between the islands of Geyser Rock and Dyer Island is a narrow and shallow channel called Shark Alley – reputed to be the world’s best place for Great White shark cage diving. Due to the resident seal colonies in the area, Shark Alley has been dubbed “the supermarket for sharks”.

A short boat ride from Gansbaai, Shark Alley is ideal for those who wish to experience the thrill of getting up close and personal with these giant predators, but who do not possess a dive certification. Your cage dive takes place just meters below the surface of the water, so no diving experience is necessary.

Township Cultural Experience

Half Day Tour (09.00 – 12.30/13.00 – 17.30)

Join us for a unique experience travelling through the three South Africa’s – The birth, where it all started, Apartheid South Africa, what happened then – the New South Africa, what is different since Nelson Mandela was released from prison. The first stop is in the Bo Kaap. Passing some of Cape Town’s landmarks, a short drive brings us to District 6 where we elaborate on the next chapter of South African. Once in District 6, we drive through the now decaying ruins of what once was a flourishing mixed-race community where 60 000 people lived and worked, but was demolished only to be reserved exclusively for white people. The tour continues to Langa, the oldest Black African Township in Cape Town. On arrival in Langa, we have a photo stop at the site that commemorates the student uprising of 1976. The Sunday morning tour includes a visit to a church service in Langa.

The day starts with a visit to Paarl where you will be struck by the beauty of the Valley, the pristine blue sky, the rolling vineyards and the Pearl of Paarl set high above the valley. We enjoy a wine tasting and cellar tour at one of the local estates. From Paarl, we’ll continue north-west to the beautiful village of Franschhoek, near the Drakenstein Mountains founded in 1688 by French immigrants fleeing the Huguenot religious persecution in Europe. Here we will stop for lunch (for own account) and another wine tasting at a vineyard. We’ll then head to Stellenbosch, the second oldest town in South Africa and the historic heart of the country’s wine region. In 1679, Dutch East India Company governor Simon van der Stel, recognized the fertility of this long valley on the banks of the Eerste River, as perfect for vineyards. Enjoy a final wine tasting before returning to Cape Town.

Table Mountain Hiking Adventure

Half Day Tour (09.00 – 13.00)

There are a number of fantastic hiking routes to the summit of Table Mountain that require moderate fitness and offer an extraordinary nature experience right in the heart of the city. Your expert guide will ensure your safe passage to the top of this iconic mountain. If you find you are too tired to walk down, you have the option of taking the cable car (for guests’ own account).  Wear closed hiking shoes and comfortable clothes, bring a rain jacket, small backpack, 2 litres of water, sweatshirt, sunscreen, sunglasses and camera. Note – Weather permitting.

Vintage Side Car Whale and Dolphin Route Experience

Full Day Tour (09.00 – 17.00)

Relax in the sidecar of a classic 750cc motorcycle and take in the spectacular scenic beauty of the False Bay coastline. Whale spotting during calving season (July – November) is a highlight and dolphins may be seen year-round. Visit the Harold Porter Botanical Gardens, located between mountain and sea, in the heart of the Cape Fynbos region. Watch the endangered African Penguin Colony at Stony Point, before sitting down for lunch at a small, yet vibrant restaurant. Return to Cape Town via a visit to either a local craft brewery offering a wide range of exceptional beers or a wine estate, steeped in tradition and recognized for producing world-class wines.

Cape Peninsula Tour

Full Day Tour (08.00 – 17.00)

The tour begins with a scenic drive along the Atlantic coast, passing through the cosmopolitan suburb of Sea Point and Camps Bay with its glorious views of the Twelve Apostles, part of the Table Mountain range. We’ll continue to the fishing village of Hout Bay, one of Cape Town’s best-kept secrets. Here there is an option to take a short boat trip to Duiker Island (for own account & time permitting) to view the Cape Fur Seals, which inhabit the island. From here we travel to the Cape Point Nature Reserve, comprising over 17,300 acres of indigenous fauna and flora. Here we can see a variety of wildlife that includes baboons, Reebok, Cape Mountain zebra, bontebok and the elusive eland. The majestic coastline offers drama worthy of being called “Nature’s Greatest Show.” We’ll be able to see the union of the Atlantic and Indian Oceans (as per legend), and may even feel the brisk wind that is dubbed the “Cape Doctor” for its presumed curative powers. Following the coastline along False Bay, we’ll return to Cape Town by way of Simon’s Town, where we visit the Penguin colony at Boulders Beach (for own account), Fish Hoek fishing village and Muizenberg. Before our return, we’ll stop at Kirstenbosch National Botanical Gardens for a short walking tour of the beautiful gardens. We return to Cape Town, passing the University of Cape Town, Rhodes Memorial and the Groote Schuur Hospital.

Table Mountain & City Tour

Half Day Tour (08.00 – 12.30)

The drive to the city centre takes us past famous landmarks such as the Castle of Good Hope built in 1666 by the Dutch East India Company and City Hall, a baroque building and the Grand Parade. As we follow the city’s main thoroughfare, Adderley Street, we will see St. George’s Cathedral, the Anglican Diocese of Nobel Peace Laureate Archbishop Desmond Tutu. We will pass the Company Gardens and the Malay Quarter (also known as the Bo-Kaap) which means “Above Cape” because of its location up against the slopes of Table Mountain. Continue to join a sparkling tour, witness the art of diamond cutting and the careful craftsmanship of jewellery manufacturing by skilled experts. Discover the history of the Diamond and Gold Trade in South Africa. You will be offered the option of continuing to Table Mountain, where you can ascend to the top [weather permitting] by the revolving cable car. Here, you’ll see wildflowers and the famous silver tree, and marvel at a birds-eye view of the city and its beaches.

Experience a typical Market Day at the Oranjezicht City Farm Market, where small local farmers and artisanal food producers link urban farming with Cape Town’s history & heritage, using seasonal produce. Mingle with locals whilst they do their weekly food shopping (vegetables, fruit, bread, honey) and try out some delicious cooked and raw foods (for own account). Continue to the Neighbourgoods Market at the Old Biscuit Mill. Your expert guide will be on hand to assist with insider tips on the local farmers and the produce that they sell. Wear comfortable shoes.

Cape Town Art & Design Experience

Half Day Tour (13.00 – 17.00)

Experience visual arts in a unique setting that offers a multisensory experience. We visit the spectacular Zeitz MOCAA (Museum of Contemporary Art Africa), the largest museum of contemporary African art in the world. We join a guided tour led by curatorial staff, presenting highlights from the museum’s current exhibitions. Our journey of exploration continues with a visit to the Norval Foundation that houses one of the largest private collections of South African contemporary art and is considered a centre for art and cultural expression.

Curatorial staff will guide us through some of the exhibitions, discussing works, providing background on the show and artist. Rate excludes lunch.  Wear comfortable shoes.
